1-2-3: The Planning Mistake That Makes Busy People Feel Behind Every Single Day

sent by Joaquín Kosegarten | October 13, 2026

You start your day with a plan.

By 11am, things are already off track.

By 4pm, you are scrambling.

By 6pm, you are exhausted and somehow still behind.

Sound familiar?

It’s not because you are not working hard enough.

It’s because almost every busy person makes the same planning mistake, and it sets the day up to fail before it even begins.

1 Idea

Plan for half the day, not the whole day.

2 Ways it saves you time

1. Most people plan their day assuming nothing will go wrong. Every meeting starts and ends on time. Nothing urgent comes in. No one needs help. In reality, around 30 to 50% of every workday is consumed by interruptions, context switches, and unexpected requests. Planning the whole day at full capacity guarantees you will fall behind by lunch, then spend the afternoon in catch-up mode. Planning for half saves you from the daily rescue mission and the 45 to 60 minutes lost to mid-day re-planning.

2. Half-day plans also protect your most valuable hours. When you fill the calendar to the brim, the first thing that gets sacrificed is deep work, because it’s the only thing flexible enough to move. By leaving structured buffer in your day, you keep your peak focus block intact, which is where the highest-value work actually happens. Less planned doesn’t mean less done. It means more of the right things done.

3 Steps to Get It Done:

1. Tonight, look at tomorrow’s calendar. Identify your three most important tasks. Write them down separately from your to-do list.

2. Block time for those three tasks first, before anything else. Treat them as immovable.

3. Leave at least 30 to 50% of your working hours unscheduled. That space is not slack. It’s the buffer that lets the plan actually work when reality shows up.

Conclusion

A perfect plan that breaks by 10am isn’t a plan. It’s a wish.

Plan for the day you will actually live, not the day you wish you would have. Try this tomorrow and notice how much more you finish, and how much less you scramble.

This is what the Task Efficiency step in Get It Done is built around: building plans that bend without breaking, so the right things keep moving forward.

“But if I only plan for half the day, I will not get enough done!”

Most people who fully pack their calendar finish less than people who plan for half, because their plans collapse halfway through and the rest of the day becomes reactive. A realistic plan you actually finish beats an ambitious one you abandon by noon. Every. Single. Time.

As promised — 1 minute that can save you hours

P.S. Fun Fact: Researchers studying NASA mission planners discovered something counterintuitive: the most reliable schedules they ever produced were the ones with the most “white space” built in. Internally, they called it the 60% rule. Plans that filled only 60% of available time consistently outperformed those packed at 90 to 100%, because they could absorb the unexpected without falling apart. NASA was sending people to space with plans that were 40% empty on purpose. Your Tuesday calendar is probably more aggressively scheduled than the Apollo missions were.
